In this document Privacy Policy, “Policy” is defined how SALESFOLLOW is gathering and using your data in order to provide the service. By continuing to use SALESFOLLOW you agree to the Policy and its latest version and thus give your concent for us to manage data in the manner defined in this Policy. This Policy is extension to Terms and conditions for the service in order to document in detail how your data is managed from privacy perspective.
Definitions
“Customer” means a user or company entity using SALESFOLLOW used also as “You” on this policy.
“Data“ means your company or personal profile information, your customer information. This information contains for example but not limited to: name, address, company business ID, buying preferences, meeting notes, descriptions of tasks and customers, ; limitation to aforementioned list does not apply fully as you can add any data to given fields in the system.
“GDPR” European Union’s Directive 95/46/EC on data privacy or the European Data Protection Regulation
Data collected on SALESFOLLOW:
SALESFOLLOW collects Data about you in order to provide the service and is storing Data into SALESFOLLOW which is created by you.
Data. When you signup for the SALESFOLLOW we collect data about you Client Data. When you invite new users to your own SALESFOLLOW we collect information about them in order to create them profiles, User Data. When you or your colleagues create new contacts, companies or other objects in the service we store the Customer Data of your customers in SALESFOLLOW.
Client Data. When you sign up to SALESFOLLOW we collect information about you like email address, name, company name, phone number, business ID, VAT (Value Added Tax) ID, Address including country information, currency. Some information we only require when you upgrade your SALESFOLLOW to paid plan we require VAT ID only in that case so we can calculate possible VAT. As we are located in Finland, for companies in Finland we need to collect VAT in any case. For companies in European Union (EU) countries by providing valid VAT ID for EU you can get service without VAT and for outside EU area you can get service without VAT price. This data is in general collected for billing purposes. For payments we use external service Bambora that stores credit card information. We do not store your credit card information in any case. You can also login to system using different 3rd party services in Single-Sign-On (SSO) style including Facebook, Google, O365 and LinkedIn. During sign-up process in order to automatically detect which country you belong to we also try to detect your IP address, purpose for this is solely to prefill country and therefore also the currency information by making thus the registration process easier for you.
User data. When you invite more users into your SALESFOLLOW you can invite them to different roles, user role can see only his own data where as admin and manager roles see all data in the system. User data itself contains information about the user himself like name, phone number, email address. Also your users can do SSO to our service with Facebook, Google, O365 and LinkedIn. You as first user of SALESFOLLOW are administrator (admin), you can promote another user to be admin as well.
Customer data. SALESFOLLOW is a typical Customer Relation Ship management (CRM) system. We store information that you are filling in about the clients manually into the system and for some data we pull also automatically from external sources like Google email, O365 email and other email systems. Such data is used to track how many emails you or your users have sent to particular customer. This tracking is done automatically as of to allow you and your users to save time from manual data entry. In order to allow email auto-tracking you and each of your users need to turn on themselves this tracking from app.salesfollow.com. We also allow users to track their phone calls made and received from their Android phones. This automatical phone tracking stores for example call duration, who made the call and time. Again the purpose for this tracking is to save your time from manual data entry. Each of your users and you yourself can turn this tracking on from mobile application. You or your users can also import customer data from your phone. In this case you or your user approve the access from the application directly. In all cases and for all data we would automatically import to our system you and your users always approve specifically for that action. We never store data automatically without your consent/approval. We do not have any direct relationship either with the customers and their data you or your users have stored into SALESFOLLOW. You are responsible to provide information to your own customer if you store their information into SALESFOLLOW.
We can also obtain data from 3rd party systems through integrations. Example of integration is Google or O365 email from where we can automatically take in emails sent to those emails that are matching to your customer registry. We can also create new customers based on this information used on the emails received or sent from your integrated mailbox.
You can also create integration on your own using our open API to push or pull information from our system. By using our API in similar manner as by using our service from any available user interface you give us consent to store the data.
Compliance to GDPR.
SALESFOLLOW offers way to Customer to store Data. We do not own the data or investigate your data as it is not our intention to access your data besides cases defined in this Policy. Only you and Customer’s users are allowed to access the data and can maintain it. Thus as SALESFOLLOW cannot know what is the content of the data you store in the system we are “Data Processor” whereas you as Customer and your users are “Data Collector”. In case SALESFOLLOW automatically creates data we do this only on behalf of the customer and do not do this without that Customer has activated such feature. This in mind SALESFOLLOW is not responsible of the Data content or personal data of the Customer’s own clients stored in the system.
Data security
SALESFOLLOW offers best possible effort to keep your data secure. Communication between our cloud service and your web browser or application is SSL secured in best practices used in industry. The service itself is hosted on secure hosted service. If you think your account password is compromised please change that as soon as possible and should you not be able to do so please contact our customer care and we will do our best to help you. In other hand if we have learned that your service has experienced security breach we will notify you without delay. This policy is following EU regulation for GDPR.
Data usage policy
In order to provide SALESFOLLOW as a service we collect Data in format mentioned in previous chapter. In this chapter we describe how this data is used to provide the service.
Support and Hosting
We host all Data in Amazon cloud services. Amazon is leading hosting provider. We reserve rights to move our hosting services to other sources like Google or Microsoft as we pursue to the best possible service level and user experience for you. In order to host and provide the services and support you we need to store Data. In case you as our customer require support for the service we need to also access your Data. We can also use the data to improve the service for developing new functionality.
Marketing and Communication
SALESFOLLOW can send occasionally messages inside application to you or your users. These messages can contain information about SALESFOLLOW like new features that might be beneficial to you or your users. We also deliver multiple different SALESFOLLOW related messages which you can turn off also from application fully or partially. We can also send you marketing emails and you can opt out from them.
Tracking and Cookies
We can automatically collect information about you or your users using tracking services and cookies. By tracking we intend to improve our service and help you during sign-up process. We gather also analytics with Google Analytics. This service has independent privacy policy controlled by Google, you can obtain more information from Google Analytics Privacy and Data Sharing. You can opt out from Google Analytics tracking using Google opt out feature. SALESFOLLOW is not intending to store any unnecessary cookies and we want to here list what cookies we have and why they are stored:
PHPSESSID, this cookie expires in every session. This cookie is essential on helping us to detect user session for authenticating with Google OAuth for example.
Disclosing Information
SALESFOLLOW takes Data protection seriously. We do not disclose your Data to third parties unless there is regulative must to do so. In such cases we follow EU regulation and local laws in Finland. In such case we require valid court order to disclose information. We can disclose identifiable information like recommendation in marketing purposes should we get a consent from customer to do. Non-identifiable information can be disclosed in marketing purposes like user and download amount.
